Role Overview:
We are seeking a highly skilled and experienced Dental Patient Coordinator to join our team in a forward-facing voice role with administrative support responsibilities. This position is ideal for someone with a strong dental background who is confident in patient communication, appointment setting, and handling high-volume calls while supporting clinic operations remotely.
Key Responsibilities:

Patient Recall:
Proactively contact patients who did not book during their last visit. Review clinical notes, identify recommended treatments (e.g., crowns), clearly explain the importance of these treatments, and successfully secure appointments. -
Inbound Lead Handling:
Manage incoming calls from new patient inquiries via landing pages. Follow a structured qualification script and convert leads into confirmed bookings. -
Payment Processing:
Securely collect and process credit card details over the phone for cancellation fee holds. -
Dental Item Number Navigation:
Interpret dental item numbers, understand associated procedures, and communicate these clearly and confidently to patients. -
Administrative Support:
Provide PA and administrative assistance, including scheduling, email management, data entry, and supporting the Practice Manager with day-to-day operations.
Qualifications & Requirements:

Dental Background (Required):
Previous experience in a dental clinic, dental call center, or dental administrative role is non-negotiable. Must have a solid understanding of dental procedures, item numbers, and clinical terminology. -
Strong Communication Skills:
Excellent spoken English with a warm, professional, and confident tone. Ability to build rapport and effectively encourage patients to proceed with treatment. -
Sales Resilience:
Comfortable handling a high volume of outbound calls daily, managing rejection positively, and maintaining consistent performance and energy. -
Independence & Initiative:
Ability to work autonomously with minimal supervision. Must be able to follow scripts and reference materials effectively after initial training. -
Administrative Competence:
Proficient in remote desktop systems, scheduling tools, email communication, and general administrative tasks. -
Medical Billing Knowledge (Preferred):
Experience with insurance coding and billing follow-ups is an advantage, though not required if dental experience is strong.
